PURPOSE OF THE ADMINISTRATIVE  ASSISTANT POSITION:

The Administrative Clerk/Assistant is responsible for providing administrative, basic financial and clerical services in order to ensure effective and efficient operations in real estate companies located in Bucharest, Romania.

The Administrative Clerk/Assistant reports to the director, shareholder and shareholder representative and is responsible for providing administrative, financial, clerical services as well coordination and communication between Romanian office and head office located in Wien and in Belgrade. Providing these services in an effective and efficient manner will ensure that operations are maintained on a highly professional level.

RESPONSIBILITIES

1. Provide administrative, basic financial support to ensure that company operations are maintained in an effective, up to date and accurate manner.

Activities:

Type correspondence, reports and other documents
Maintain office files
Open and distribute the mail
Take minutes at meetings
Distribute minutes
Maintain confidential records and files
Maintain records of decisions
Research and assist with the preparation of motions, policies and procedures
Review and edit reports to the Shareholder
Prepare correspondence documents
Prepare documents and reports on the computer
Schedule meetings
Prepare agendas for meetings
Greet and assist visitors
Answer phones
Direct calls and respond to inquiries

KNOWLEDGE, SKILLS AND ABILITIES

The candidate must have proficient knowledge in the following areas:

Knowledge of Microsoft office
Administration and basic financial skills
Ability to maintain a high level of accuracy confidentiality concerning financial and employee files
