Executive Assistant – oil& gas industry – hybrid work
Key Responsibilities:
- Calendar & Schedule Management
- Organize and manage the executive’s calendar
- Schedule meetings, appointments, and travel arrangements
- Available for overtime
- Communication Management
- Handle internal and external correspondence (emails, calls, letters)
- Act as a point of contact between executives and staff/clients
- Meeting Preparation
- Prepare agendas, presentations, and reports
- Take meeting minutes and follow up on action items
- Travel & Logistics
- Book flights, hotels, and transport
- Manage travel itineraries and expense reports
- Confidentiality & Discretion
- Handle sensitive information with discretion
- Maintain confidentiality on business and personal matters
- Project Support
- Assist with planning and executing executive-led projects
- Monitor deadlines and ensure timely follow-up
- Office Coordination
- Coordinate with departments on behalf of the executive
- Help manage budgets or resources, depending on the company
Requirements:
- Education:
- Bachelor’s degree preferred (Business Administration, Communication, or related field)
- Equivalent experience may be accepted
- Experience:
- 3–5+ years in an administrative or executive assistant role
- Experience supporting high level executives preferred
- Skills:
- Excellent written and verbal communication (English)
- Strong organizational and time management
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Discretion and professionalism
- Ability to multitask and work under pressure
- Personal Qualities:
- Proactive and self-motivated
- High emotional intelligence
