Office Assistant – Multinational Company

Responsabilities

  • Sorts and registers the received correspondence in the incoming-outgoing register (number, date, name of the company, content of the message, other information deemed as required).
  • Answers and diverts the phone calls, and if the recipient is busy / missing, takes the potential messages and further sends them or diverts the call to the persons who might be aware of the problem.
  • Prior to diverting the call, finds out who is calling and potentially regarding what problem; sends such information to the concerned person prior to the actual transfer of the call.
  • Receives the external guests (customers, business partners etc.), notifies the concerned persons regarding the arrival thereof and accompanies the visitors to the meeting rooms or to relevant persons, ensuring the required protocol.
  • If the visited person is busy / missing, the assistant gets the guests in contact with another person familiar with the issue.
  • Keeps evidence/registers the incoming and outgoing fax messages in the Incoming/Outgoing files
  • Maintains the liaison with travel operators, agencies etc. in order to ensure the transport and accommodation, at the required level, in case of business travels of the company employees / partners / foreign colleagues within the Group. Drafts and sends the invitations required for the needed visas.
  • Fills-in the Prioripost sheets, envelopes of registered letters (by means of overnight courier or normal domestic and international mail), enters the addresses on the envelopes, wraps parcels, registers the sent envelopes.
  • Schedules the interviews.
  • Photocopies / drafts / edits various materials.
  • Makes a selection of the press articles of interest for the company and sends them to the interested persons by e-mail, on a daily basis.
  • Maintains and regularly updates the electronic address book of the company.
  • Maintains and regularly updates the Black List (Black list of companies).
  • Implements any other orders received from the hierarchical/direct supervisor or by the supervisors thereof concerning the company’s short term strategy, within the limits of the compliance with the legal grounds.

Strong PC skills (Excel, Power Point, Word)

Excellent communication and organizational skills
